How to Create a Wholesale Invoice

In this article, we will guide you through each step to create a wholesale invoice, allowing you to efficiently manage and finalize your wholesale transactions in Flawless POS. By following the steps outlined below, you’ll be able to accurately invoice wholesale orders, ensuring a smooth process from order completion to invoicing

Step 1: Access the Wholesale Account Module

  1. Open the left navigation menu. 

  2. Click on the Wholesale Accounts option.
     

  1. Choose the relevant Wholesale Account. For this example, we will be working with the account named Jov. 


Step 2: Begin Creating the Invoice

  1. Click on the Invoices tab within the selected Wholesale Account.

  2. Press the Add Invoice button. 


Step 3: Select the Invoice Source

In the opened menu, you can choose to create an invoice from:

  • Sales Order

  • Memo

  • Stock

For this example, we will proceed with creating the invoice from the Sales Order. 


Step 4: Choose the Sales Order

  1. Press Add Invoice from Sales Order.

  1. Select the Sales Order you wish to invoice by clicking on it. For this example, we’ll be using Sales Order # SO0001105. 


Step 5: Review and Customize Invoice Details

  1. You will see the Invoice Details section, where you can make adjustments.

  2. Make any necessary changes, or leave at default settings.

  3. Press Next in the top-right corner. 


Step 6: Select Products for the Invoice

  1. In this section, choose the Products from the Sales Order to include on the invoice.

  2. You may select items by:

    • Scanning with a barcode scanner.

    • Manually selecting from the list.

    • Uploading a spreadsheet using Select From Excel or CSV.

  3. Once your selections are complete, press Next. 


Step 7: Finalize Invoice Details

  1. Make any additional adjustments as needed:

    • Add a description.

    • Change the unit price.

    • Apply discounts, Add Tax, Shipping, Packaging & Materials, and Insurance Charges

    • Update the quantity of items.

    • Enable Grouping

  2. Once satisfied, press Complete. 


Step 8: Use the What's Next Action Wizard

Upon completing the invoice, you will see the What's Next Action Wizard, with options to:

  • Send Invoice via Email – Default recipient is the Primary Contact of the Wholesale Account.

  • View Invoice – Generates a PDF of the invoice.

  • Create Shipments – Proceed to the Create Shipment section to set up shipment details.

  • Create Another Invoice – Start a new invoice right away.

When all actions are complete, press Continue to close the wizard.



Step 9: Confirm Invoice Creation

Refresh the grid to see the newly created invoice appear at the top.
