How to use a GIA integration to speed up diamond Merchandise Receives

This article provides a guide on using the GIA integration in Flawless POS to streamline the Merchandise Receive (MR) process for diamonds.

1. Starting in the Simple Merchandise Receive Section

• Begin in the Select Products step within the Simple Merchandise Receive section.

• Refer to the Merchandise Receive guide in this article for steps on how to get to this point. [From Sales Order to Merchandise Receive]

• For this example, we will be using an MR from the vendor named Jov when we are implementing the different methods for the GIA Import.
  
  
  
  
  
  
  
  
  
  

2. Three Methods for GIA Import

Method 1: Bulk Create

• Click Create New Item and choose Bulk Create Items.
  
   

• Ensure the SKU template uses the Diamond inventory type.
  
  

• Press OK, then in the new dialog, select GIA Lookup.
  
  

• Input the GIA Number and press OK. The item name will populate with GIA data. For this example, we will be using a GIA Number which is 7478510360 that we’ve saved beforehand for this article.
  
  

• Click Create Items to add it to the product list.
  
   

Method 2: Copy Details from GIA Number

• Press Create Item and select the desired view (e.g., default view). For this article, we will be using the default view for the Diamond.
  
  

• In the dialog, locate Copy Details from and choose Import from GIA.
  
  

• Enter the GIA Number and press OK. Mandatory fields will auto-fill with GIA data. For this example, we will be using the same GIA Number as Method # 1.
  
  

Note: Don’t forget to set the SKU Template for the creation of this product.

• Press OK to complete the item creation.

Method 3: Excel File Import

• Go to the Product List module and press the round action button.
  
  

• Choose Import Excel and ensure your file has the new mapping columns: Certification Number and Certification Lab (GIA).
  
  

• Press Import Products once all data is verified.
  
  

• After uploading, refresh the grid and you would now see the newly created product at the top.
