Usage of Calendar on your Dashboard

In this article, we’ll explore how to effectively use the Calendar tab on your Flawless POS dashboard. The Calendar feature allows you to view scheduled service jobs, manage events, and even schedule marketing campaigns. This centralized view helps you stay organized with various tasks and events, all accessible in one place.

Enabling the Calendar Tab

Before you can use the Calendar tab, make sure it’s enabled in your Dashboard settings. Follow these steps to enable it:

  1. Go to your Dashboard settings.

     

  1. Enable the Calendar Tab by clicking on the Cogwheel button located at the top right corner of the screen.

     



                   

  1. Once enabled, you’ll see the Calendar tab appear on your dashboard.

     


Step 1: Accessing the Calendar Tab

Once the Calendar tab is enabled, it will automatically be displayed on your dashboard. The default view will display the entire month, but you can switch to a daily or weekly view using the buttons at the top-right corner. This flexibility allows you to zoom in on specific days or weeks as needed.


Example:

In this example, we’re focusing on October, Scrolling down to October 28th for a service job example.



Step 2: Viewing Service Job Events

On October 28th, you’ll notice a service job scheduled. Clicking on the event opens a dialog containing more details, such as:

  • Job Number: The assigned number for the service job.

  • Sale Number: The assigned sale Number for the Service Job

  • Customer Name: The customer associated with the service job.

  • Event: The event linked to the Service Job such as the estimated time for completion

You can also initiate communication by pressing the Text icon to send a quick message to the customer, making it easy to provide updates or ask questions.


 


Step 3: Viewing Customer Events(Birthdays and Anniversaries)

The Calendar tab also helps you track important customer-related events, such as birthdays and anniversaries. For example, if a customer has a birthday on October 19th, the event will appear on the calendar. Clicking the event opens a dialog showing:

  • Customer Name: The name of the customer.

  • Event Name: The event type (e.g., Birthday or Anniversary).

  • Last Sale: The last purchase made by the customer.

You can send a text message to the customer from the dialog to wish them well or offer a promotion. There’s also an option to filter events, showing only customers who’ve been shopping with your store for over 5 years by checking the corresponding box. 


Note: To display these events, ensure customer profiles have their date of birth and anniversary date filled out.



Step 4: Adding New Events to the Calendar

You can also schedule new tasks and events directly from the Calendar. To do so, follow these steps:

  1. Click on any open date on the calendar.

  2. A dialog will appear where you can choose the type of event or task to add.

        Here are the available options:

  • Store Task: Internal tasks for store management, such as inventory checks or staff meetings.

  • Employee Schedule: Plan and manage employee shifts.

  • General Internal Event: Events for internal use that aren't customer-facing.

  • Public Event: Events visible to your customers, such as store promotions or special in-store events.

  • Employee Vacation: Schedule time off for your staff.

  • Marketing Campaign: Plan and schedule a marketing campaign to launch on a specific date.

     


Step 5: Scheduling a Marketing Campaign

To schedule a marketing campaign:

  1. Click on an open date and select Marketing Campaign from the event dialog.

  2. The Create Campaign Wizard will open, allowing you to configure campaign details.

  3. Set the Run Time for when you want the campaign to be launched.

After setting the run time, complete the rest of the campaign setup as usual. If you need assistance, you can refer to our Campaign Setup Article.

After finishing the campaign setup, the event would automatically be saved in your calendar. To confirm this, we will head over to the date in which the campaign was scheduled. In this example, it would be on December 25, 2024 at 12:00 AM.


 







Note: Marketing text campaigns require a double opt-in from customers, meaning they must confirm their subscription to receive marketing messages.
