The Data Grid is a powerful tool used across the majority of modules in Flawless POS. It allows you to effectively manage and display crucial data, making it easier to perform tasks like sorting, filtering, and customizing views based on your needs. In this guide, we will walk you through the main features of the Data Grid using the Wholesale Accounts module as an example, specifically focusing on the Sales tab.

How It Works
The Data Grid is your main interface for interacting with lists of items, orders, or data points within Flawless POS. For example, if you're managing Sales Orders and need to quickly find a specific order, the grid provides various features like filters, sorting, and column customization to make this process more efficient.
Before You Start: Before you begin working with the Data Grid, ensure that:
You are logged into Flawless POS with the appropriate permissions.
You have a list of data points (such as created by, dates, or customer name) that you’ll frequently filter or sort by.
Filtering and Searching Data
Step 1: Filtering Columns
The filter feature allows you to refine your data view, focusing only on the entries that meet specific criteria.
Note: Not every column has a filter feature. However, you may be able identify which columns have the filter feature by looking at the top of their respective columns.
In the Sales tab, locate the column titled "Customer."
Use the Filter field at the top of this column.
Type the customer name that you want to search for into the Filter field. In this example, we will be using an example with the customer name “Scelerisque”.
Only the orders associated with the customer Scelerisque will now be visible.
You can apply filters to any column that has a filter field, allowing you to filter by Created By, Date, Status, Order Number, and Customer Name. To disable any filter, click the ‘X’ button within the Filter field.
Step 2: Using the Search Bar
The Search bar is another tool that allows you to search across multiple columns simultaneously. Simply type a keyword, and it will return matching results from common fields (such as Created By, Date, Status, Order Number, and Customer Name).
Customizing Data View
Step 3: Adding or Removing Columns
Flawless POS allows you to customize the columns visible in your Data Grid. You may want to display additional information or hide fields that aren’t relevant to your workflow. To modify the visible columns:
Click the Eye icon (Select Columns) located at the top right of the Data Grid.
A list of all available columns will appear. You can scroll or search to find the column you need, such as "Total".
Check the box next to the column under "Show" to enable it.
Click "OK" to apply changes.
In our example, the “Total” column will now be visible on the grid.
Step 4: Reordering Columns
After enabling new columns, you may want to reposition them to optimize your view. For instance, if the "Total" column is at the far right and you want it next to the Balance column:
Click and hold the column header (e.g., "Total").
Drag the column to the desired position and release.
Sorting Data
Step 5: Sorting by Columns
To quickly sort your data, you can use the sorting functionality to arrange entries in ascending or descending order. If you're looking for the highest-value Sales Orders:
Click the three-dotted menu next to the "Balance" column.
Select “Sort Descending” to list the most expensive sales orders at the top.
You can apply similar sorting to any column, such as Date, Customer Name, or Status.
NOTE: Not every column has a sorting feature. To be able to identify which column may be sorted, you may simply check beside the column name if it has the 3-dotted menu.
Exporting Data
Step 6: Exporting to Excel or Printing
If you need to export your data for reporting or further analysis, you can easily export it to an Excel file or send it directly to a printer.
Click the Export Rows button, located next to the Select Columns button.
Choose whether you wish to export the following:
Export Visible Columns – Only exports all the visible columns in the data grid
Export All Columns – Exports all the columns in the data grid regardless of the visibility
Print preview – display the printed format of the data grid
Note: Exporting all or only visible columns generates an excel file which you may download and view for later purposes. The print preview automatically generates a preview of how your printed data grid would look like.
Refreshing Data
Step 7: Refreshing the Data Grid
To ensure you're working with the most up-to-date information, you can refresh the Data Grid:
Click the "Refresh the Grid" button, located next to the Export button.
The grid will refresh with the latest available data.
